Commercial refrigeration maintenance: divide staff checks from equipment service
Create a site-specific maintenance routine without turning kitchen staff into refrigeration technicians.

Start with the actual equipment inventory
List each reach-in, prep unit, walk-in, and freezer with its location, accessible model information, manual, and service history. Identify which temperature display belongs to which storage space. Keep records of recurring alarms, gasket repairs, drainage problems, and unusual frost so the maintenance plan reflects actual site conditions.
Different equipment has different ventilation, cleaning, and control requirements. True's manual and Heatcraft's controller documentation illustrate that variation; neither should be treated as a universal instruction sheet for every brand. Use the installed model's instructions and the site's operating conditions to agree on an inspection schedule with the appropriate service provider.

Define routine staff observations
During normal work, notice doors that do not close, accessible gasket damage, blocked interior air openings, and boxes obstructing external ventilation. Report new water, frost, unusual sounds, and controller messages. Keep the surrounding area clean using approved procedures, without spraying equipment openings or reaching through grilles.
Coordinate these observations with the establishment's food-temperature monitoring plan. Record actual food readings separately from cabinet air and setpoints. Monitoring frequency comes from the approved plan and operational risk, not a generic maintenance checklist. Escalate uncertain cold holding to the person in charge promptly; a scheduled service date is not a reason to defer food-safety action.

Reserve internal work for trained personnel
Agree on the service scope for heat-transfer surfaces, fans, drainage, controls, door hardware, and overall operating condition. Internal cleaning requires appropriate isolation and model-specific methods. Do not assign staff to remove guards, clear frozen drains with tools, test live wiring, adjust pressure controls, or connect refrigerant gauges.
Some equipment contains flammable refrigerant. Do not puncture tubing, use improvised heaters, or attempt leak repairs. Never defeat interlocks or protective delays to maintain operation. Smoke, arcing, burning electrical odors, or water near electrical components requires keeping people clear and obtaining appropriate urgent help, not continuing a routine checklist.

Turn findings into follow-through
After each visit, retain the observed condition, work performed, unresolved recommendations, and any operating restrictions. Ask whether grease, dust, door traffic, or recent layout changes warrant adjusting the next service interval. Track recurrence rather than assuming that a single cleaning permanently solves a repeated temperature or drainage issue.
A useful plan names who records readings, who receives alarms, who authorizes service, and who makes food decisions if refrigeration fails. Keep the backup-storage and corrective-action procedures available to the person in charge. Maintenance can identify developing problems and support reliable operation, but it cannot guarantee no breakdowns or a specific energy saving. Continue responding to new symptoms between planned visits.
